Privacy Policy
Gear2Game processes personal data to handle your orders and run our webshop. This privacy policy explains what data we collect, why we collect it, how long we keep it and what rights you have. It applies to gear2game.nl and gear2game.com.
This is a courtesy translation of our Dutch privacy policy. If the versions differ, the Dutch version prevails.

What data we process
Account. If you create an account we store your name, email address, phone number, saved addresses and an encrypted password. You can view and manage this yourself in your account.
Orders. To process an order we need your name, email address, phone number, delivery and billing address, the items ordered, your order history and the status of your payment and shipment.
Payments. Payments are handled by our payment provider. You enter your payment details in their secure environment (iDEAL, Bancontact or card); we only receive the result, the payment method used and, for card payments, the last four digits. Full card details never reach us and are never stored by us.
Customer contact. Emails and other messages you exchange with us about an order, a product or a return.
Reviews. If you write a review we store your name, your rating and your review text. These are publicly visible on the product page. You can have your review edited or removed at any time.
Technical data. When you visit our website we process technical data such as your IP address, browser type and device, including in server and security logs.
Why we process it
We only process your data when there is a legal basis under the GDPR.
- Performance of a contract - processing, delivering and handling your order, handling returns and providing customer service.
- Legal obligation - keeping records and complying with statutory retention duties.
- Legitimate interests - securing our website, preventing fraud and abuse, improving our services and handling disputes.
- Consent - where we ask for it, for example for non-essential cookies or for sending a newsletter. You can withdraw your consent at any time.
We do not carry out automated decision-making or profiling that has legal consequences for you.
Sharing with third parties
We never sell your data. We only share it where necessary to provide our service or where the law requires it - for example with the parties that process your payment, deliver your parcel, host our webshop and send our emails. With parties that process personal data on our behalf we conclude a data processing agreement.
Data is in principle processed within the European Economic Area (EEA). If a supplier processes data outside the EEA, this happens with appropriate safeguards, such as the European Commission's standard contractual clauses or an adequacy decision.
How long we keep data
We do not keep your data longer than needed for the purposes above or than the law requires.
- Order and invoice data: 7 years, due to the statutory tax retention duty.
- Account data: for as long as your account exists. After deletion it is removed from our systems and within 30 days at the latest from our backups.
- Customer contact: up to 2 years after the last contact.
- Reviews: for as long as the review is published. If you delete your account we anonymise or remove your review.
- Server and security logs: up to 90 days.
Security
We take appropriate technical and organisational measures to protect your data, including:
- encryption of traffic via HTTPS;
- hashing of passwords;
- access control, so only staff who need it can access your data;
- regularly updating our systems and making backups.
Your rights
Under the GDPR you have the following rights:
- Access to the personal data we process about you.
- Rectification of incorrect or incomplete data.
- Erasure of your data, insofar as we are not legally required to keep it.
- Restriction of processing.
- Objection to processing based on a legitimate interest.
- Data portability of data you provided to us yourself.
- Withdrawal of consent, where a processing is based on it.
Send your request to [email protected]. We respond within one month. To prevent misuse we may ask you to confirm your request or to demonstrate your identity.
If you disagree with how we handle your data, you can lodge a complaint with the Dutch Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
Cookies
We use cookies and similar techniques. Essential cookies keep the webshop working. We always place these; without them you cannot log in or place an order. They are:
- a cookie that remembers your shopping cart (7 days);
- a cookie that keeps you logged in (7 days);
- a cookie for internal caching and region detection (1 day);
- a cookie that remembers your language (1 year);
- a cookie that remembers your market and currency (1 year);
- a cookie that remembers that you accepted this notice (1 year).
To measure website visits we use a self-hosted, privacy-friendly analytics service that runs within the European Union. It sets no advertising cookies, builds no profiles of you and the data is not shared with third parties for marketing purposes.
You can delete or block cookies in your browser. Please note that the webshop will not work properly without them.
Changes
We may update this privacy policy, for example when our services or the law change. The current version is always available on this page. We will inform you of significant changes via the website or by email.
